Adding or Removing Users to M365 Distribution Lists and Groups

 

As a part of our Hybrid Active Directory (AD) environment we utilize Microsoft 365 (M365) to manage Colleagues Distribution Lists and M365 Groups. Distribution lists are email lists that when someone emails the list, everyone in the list gets the email distributed to them. A M365 group will include an email address, but can also have a Teams group, and a SharePoint/OneDrive component depending on how it was setup.

Step 1: Nagivation

 

  • On the left-hand side expand “Teams & Groups”
    1. Select “Active teams & groups”
    2. You can use the search bar to look for a group.  

Step 2: Adding a User

  • Once you’ve found the group
    1. Select the name from the list
    2. Switch to the “Members” tab
    3. There are 2 types of members:
      • Owners can manage the Distro or Group themselves from Outlook/Teams but do not get the messages.
      • Members receive messages sent to the groups.
    4. Select the appropriate section to add by selecting “View all and manage ….”
    5. Select “Add members”
    6. Use the search bar to find the Colleague to add.
      • If the search results are blank, double check your spelling.
      • If still blank, the Colleague has already been added to the group.
    7. Check the box of the user/s you want to add.
    8. Select “Add” to save.
      • **It can take ~15 minutes for the changes to replicate through M365!**

Step 3: Removing Users from Distribution LIsts or Groups

  • Follow the steps above to navigate into the group you want to manage.
    1. Open the “Members” tab
    2. Use the search bar to look for the Colleague
      • Or scroll down to find
    3. Select the check box of the user you want to remove
    4. Select the three dots (…) next to the search bar
    5. Select “Remove Members”
    6. Select “Yes” to remove from the group.
      • **It can take ~15 minutes for the changes to replicate through M365!**

Step 4: Escalation

  • IF you need further assistance, escalate to your Senior IT Analyst or IT Helpdesk Manager.
